A great starter option

As a first AMS for our organization many years ago, WebSuite did everything we needed it to! Customer Service is great and our needs were always addressed in a timely manner. Now that our staff and functions have grown, we require more complex functions for an AMS to meet our needs.
Constituent data was easily accessed and modified and queries were easily built with the ability to save reports accessed often. Built-in emails and invoicing was nice to have, though templates were very basic and could not be modified by our staff. The website we orginally designed was not able to be updated unless we paid a "rejuvination fee" and we felt that should be customizable at any time. Any basic text changes could be made to the website by our staff but additional pages or layouts had to be done by the company.
If you need a good place to start, WebSuite is a good option!

TCS's AMS solution, titled WebSuite2 is an "all in one" solution with website and AMS integrated.  It is very antiquated in its design and functionality.  Website content updating is limited to newsletter type of updates.  Users cannot add or remove pages, change menus, or page features.  TCS support must do all of that.  Our ability to update our webpages is limited to a wysiwyg newsletter-style single box on the page.   Funcitonality of the member database is two dimensional and not user friendly as well.  Everything requires manual updating.  There is no automation at all.  Not even updating member records when they pay their membership dues invoices online.  

The support staff is very friendly and eager to help when you can get them on the phone.  However their follow through and project management is poor after the call (or if you have to leave a voicemail to begin with) even when customization fees have been approved .

 TCS Software offers an excellent product for a great price.  Customer service is spectacular.  I am particularly pleased with their GPDR readiness... Made it very easy for me to notify my European members and contacts.  Their ability to provide you just the right tools to manage your membership tasks, provide security for your data, and to respond to even the arcane questions makes them a breeze to work with.

We recently upgraded our trade show sub-site to the responsive website platform and we could not be happier with the results! TCS has maintained their user friendly CMS system but the front end look is clean, modern and adjusts to whatever device our attendees are using (desktop, tablet, phone) for maximum usability. I love the large images, the integration with Map Dynamics and overall feel of the site. It gives us a very professional look on a not-for-profit budget!

TCS customer service is hit or miss. At times, issues are handled quickly, but often weÕve had to wait days for promised resolutions or explanations about issues, if we receive a response at all. They put a lot of effort into making our staff recognize that itÕs always our fault and their staff and program is entirely blameless. Another very sore spot is that when we call to ask if there is a way to accomplish something with the software, we generally are challenged about why we want to do what we are trying to undertake. If they donÕt like the response or find the task important, they are of no help Ð they donÕt realize that they should not place themselves in the position of calling the shots on how we run the association and serve our members. The TCS Prevail program isnÕt what I would call intuitive and, frankly, itÕs difficult to teach to new employees. Additionally, their training consists of the bare minimum basics. Pulling information for various purposes from the registration module can be a challenge. While the company uses their legislative and education-tracking modules as attractive additions in their sales pitch, the functionality of both falls short of desirable. Customization is not encouraged Ð period. They insist they know what associations need and if they donÕt find it important, it is unlikely to happen. Based on what weÕve encountered with the TCS Prevail package, our association is considering other options.

This system feels very old school. Our association has provided a number of ideas on how to make the system more efficient for our needs and have either been charged for the idea's implementation (which seems would benefit other organizations!) or have just been told it's "not possible." Certain staff are extremely helpful while others are not - it really depends who you get on the phone. Our biggest frustrations have been the lack of innovation, that the system is really not user friendly from the back end, and being nickle-and-dimed for seemingly all support questions. Everything seems backward and more confusing than it needs to be.

In a way, this review will be a bit like reviewing my 2000 Toyota Camry. It's done its job for 14 years - never let us down - but now it's time for the bells, whistles, and extra features that come with the latest model. So we are now actively researching a new AMS system and hope to be fully implemented by summer of 2014. Our association has used the Prevail AMS system for approximately 14 years and for the most part, we've been satisfied with it. Our initial implementation was fairly smooth, as were the few customizations we've had to make. Prevail is not web based but at the time we implemented Prevail, we did not have an online store, a members-only web portal (that needed to be tied to our member database) and our national conference registration was handled by an outside events management contractor. So it served our purposes at the time. TCS Software was, however, ahead of the curve in designing a web-based SooS AMS system (WebSuite 2) that they are gradually migrating their clients to, so the old Prevail system will be phased out as more clients go with web-based products. We looked at WebSuite 2 and were quite impressed by its many upgrades from the Prevail product, but decided that it wasn't the perfect fit for our association. That said, we have been extremely happy with TCS's customer service. The Prevail system is solid, so we seldom have to call for assistance, but whenever we do, our calls are always answered immediately, and our problems are solved that day, usually within minutes. I wish that we could continue doing business with TCS. They've set the bar so high for personalized customer service, we can only hope that our next AMS provider is capable of the same level of service.
