Challenging and not as expected

When we set out to find a new AMS, we looked at a number of companies but found Weblink to include a lot of what we needed. We are an organizational based association (as opposed to an individual) and were pleased we could have a company as the member along with having the company's employees tracked on their level of interaction. The demo was done very well and were shown the system's full capabilites which appeared to be staight forward and fairly intuitive. Transitioning from what the "sales" team told us to the operational side of things were a different story. The worksheets provided to map your customer data information were very complicated. They were bascially excel files that required a couple of hours alone in training in how to use. Staff spent several days worth of time mapping the variou data fields and then uploaded to the system. By accident on a weblink staff's part, the entire worksheet was deleted and had to be reconstructed.

Interface:

Once uploaded, the Weblink interface is challenging and has a high learning curve in how to properly use and execute functions a simple as running a meeting report. The company encouraes users to attend their annual users meeting in the midwest to learn how to use the system  more efficiently but that's not always an option based on time and expense. The company has merged with MemberClicks but we haven't seen any functional improvements on the Weblinks platform. It appears anyone going foward post merger will likely see something differnent but previous Weblink users will stay put on the legacy system. We're about 12 monhts into using the system and still limping along. 

If you have a dedicated IT or data person, your experience may be enhanced.

I have used weblink for 4 years.  It is not user friendly.  It does have a good interface with Quickbooks and has helped us manage our AR much better.

Customer service often takes weeks to reply and modifying a report takes a long time.  It does not seem like they understand the association business.

The meetings module is not intuitive and the online registration is cumbersome.

Very limited because there is no way to customize. On boarding was challenging because they didn't seem to understand our membership model. More geared toward serving Chambers of Commerce rather than Associations who have individuals as members. We would like to gather more demographic data from our members but have been told there is no way to add fields to collect basic information such as ethnicity. We are resorted to work-a rounds such as gathering data through our online community instead using of the database.

Unfortunately, WebLink Connect was built for Chambers and our predecessors did not know this when they chose this AMS. Only recently has their customer service started to improve. We have had to "rig" a good portion of our procedures. We will not be continuing our contract.

Overall WebLink has provided us with "work-arounds" for many of our issues. We have found that as our organization is growing and changing, there are features we want out of our database that we find just can't happen. Maybe if we were an organization that is steady and not updating and changing our processes we would be happy with this database.

This system is hard to learn, hence the reason you have to complete the training "Weblink University", before using it. We were promised a lot during the sales demo, only to find out certain things weren't possible.

I 'inherited' Weblink (the person who made the decision quit and I replaced her) during the transition from ACT. It isn't very intuitive, especially when it comes to customization. It isn't always easy to get a real person on the phone - apparently we were told someone would come in to help us set up the Quickbook integration, but after we paid we discovered that wasn't the case and we had a lot of trouble finding the right support person. If you are a Chamber, this is a great AMS. Not so if you are 'chamber like'.

We inherited the Weblink AMS so I cannot speak to the implementation, but we were offered little support for getting up to speed with the system. We did receive links to watch some training videos. I'm a technical person and it's frustrating to watch a bunch of videos to figure out what I'm looking for when I could read it in 2 minutes if it was simply text based documentation. Overall their support is lackluster. There's typically a 3 day turn around for any email based correspondence and most phone calls turn into email based communication. In many cases we've had 1-2 week turn around for items that we cannot change ourselves such as form pricing. There's a lot of nickel and dime type support requests too for updates that in other systems we can do ourselves, but don't have access to do in Weblink. The usability of the system itself is clunky. It feels like software from the late 90s and it's littered with pointless "Click OK to confirm" pop-up boxes. Ironically we've found some cases where you would expect an "OK to confirm" box to prevent you from a potentially irreversible change and it doesn't happen! All of that said, I think that with a stronger transition than our group had, and if you're not adverse to spending more money initially than the expected yearly fee, then you could build a decent system on top of what Weblink offers. If your group's needs do not change, then you could devote a lot of time and money in the first year, and then rely on the relatively low yearly cost to make up for the difference in the following years.

Solid AMS for trade association, chamber of commerce or any organization where members are organizations not individuals. It can handle individual memberships even easier, but not all can handle organization members well - this one can. Does all of the basics well - dues, pledges, events. Good contact management system. Has an effective sales pipeline for sales teams. Nice feature where emails from Outlook or any system can be posted to Notes for the member or individual linked to a member. There is a bit of a learning curve but all well thought out systems will have this.

We unfortunately have had a bad experience with our AMS system. We are a small staff of 5 and the AMS has many manual steps for items that should be automatic or easier to do.

Currently, we are using WebLink Connect for our Database and Website content. Recently we upgraded to the new CMS which gives us the ability to change website content with a Drag n Drop feature, all without teaching the HTML code. Our ability to build stronger relationships with our members and prospects is exponentially increased due to the use of this system. I completely endorse this product and staff.

Weblink has a very user-friendly interface and they have an absolutely amazing library of tutorials to walk you through just about every single facet of their software. These have been critical as new staff have walked on board and needed to understand the basics - rather than an hour or two of another staff person's time, they simply went to the library, searched for what they needed, and bam! Ready to go. That has also been helpful as we have wanted to add new pieces. Customer service is wishy-washy. I have had excellent responses, response times, courteous professionals and I have also experience non-responsive, rude, and at times inexperienced tech support. Customization was where we fell down. I hate to say it is all on the AMS because in any relationship each side holds some of the responsibility. I do not know that our needs were clearly explained nor clearly understood. They can build anything - it just takes a very, very long time. There does not seem to be a quick tech support request (unless you can find it in the library). Anything that exists outside the end user being able to do it, takes a long time. The typical response is two weeks. Sometimes things are done earlier, sometimes not. We had a lot of account representatives - they changed very often. Same with our customer support contact. Some things I liked: extensive training library, willingness to understand what we wanted and to build it (we just needed to be ok with the time and money - understandable), ease of use - very intuitive, learning curve is very shallow, customer service for the most part. I wish they had a bit more standard items for associations (they started out for chambers and we just don't run the same type of events) and faster turn around on tech requests, but overall, we are satisfied for now. We have renewed for a third year as we continue to explore and learn and understand if this will be our long-term solution.

Weblink is Solid, but not Pretty

We have used Weblink, Affiniscape and Memex. Weblink certainly has a very solid back-end. It's built around the financial aspects of an Association and a solid database, and we really appreciate being able to generate the kinds of financial reports that are vital. Its front end website for the association tied to the back end is very attractive. One issue is that the tool requires the use of a portal - it's not entirely web-based yet, although moving in that direction. The system is solid, and perhaps most importantly, their team is very responsive. We've been live for more than a month and we find that they listen. They are continuing to make enhancements and improvements for us, which will be useful for other Associations as well. For the price, this is an excellent product. We compared this with Membersuite, Timberlake, IMIS, Avectra and YourMembership and this won out. Since then, several other associations in our industry have come aboard and we anticipate even more opportunities to customize and create benefit in the future.
