Aptify

My review on Aptify is that I have used Aptify for a while and my overall experience is pretty good. The software makes managing memberships and events a lot easier. It is flexible so that I can customize it based on my needs but it did take a time to get used to all the features because there are a lot features. Once I get it became a lot easier to use. The customer support was very helpful when I had queries which made the learning process easier for me. In last it’s a good tool if you’re managing a lot of data and need something reliable.

I have worked with the Aptify system for at least 7 years. If your organization has a good handle on your business requirements, or are willing to do the work to get there, then Aptify likely has the power and flexibility to get the job done for you. The system is built to allow extensive configuration without programming and also well suited for deeper customization and integration with other systems. That certainly doesn't mean it's all going to be easy, what serious system is? But the people at Aptify are excellent partners in this work too and their support network is solid.

Customer Service: I've been very pleased with the system itself, the support network, and the user community! We've found support and client services to be responsive and proactive in making sure we have what we need as an organization. Each individual I've interacted with at Aptify, whether it be a member of management, R&D, client services, or support, all have passion for the product and work they do. Aptify also truly listens to their customers; being engaged in the user community, on committees, and at their conferences will always be to the benefit of your organization.

Ease of Use: We've been using Aptify for close to 7 years, and while every major implementation comes with growing pains and learning cuves, it's simple to use and navigate once you know what's what. Most recently, Aptify has made concerted efforts to update their product knowledge base and made it readily available which has been incredibly helpful. Aptify also actively engages the user community for feedback/input on the product, and does their best to incoporate what they can to enhance usability.

Reliability: We've experienced very little downtime since moving to the cloud hosted environment. Aptify is quick to communicate and resolve any outages, or issues that come up unexpectedly. Any planned outages are scheduled, brief, and during a time of day when we have very little (if any) web traffic.

Customization: Aptify is an incredibly flexible product, allowing the unique needs of any association to be met through customization or 3rd party integration. The Aptify Marketplace is also a great resource to find plugins, integrations, or other enhancements that Aptify or other organizations have done and made available for general use.   

Our ogranisation went live with Aptify 5.0 in 2017. We are currently kicking off an upgrade to Aptify 6.1.  In 2018 we started working with a dedicated team in India and have never looked back.   The dedicated team work on bugs/issues and small enhancements.  We meet bi-weekly and are in constant communication.  We are very pleased overall.

Aptify is a great AMS. It has lots of capabailities and the company is great to work with.

Aptify is a pretty good AMS.  It is very customizable and can intergrate with different CMS and ecommerce system via the API.

The Aptify AMS system is highly extendable and customizeable. It has solutions for practially everything a memberhsip association might need: events, memberships, e-commerce features, exam certifications, etc. Almost everything can be extended by a talented admin. For more complex work, a small development team can build some very complicated features into the system. It is a framework so there is a learning curve, but Aptify does a good job of managing the more demanding rules around data and event triggers.

The cost of this customization is in useability. Everyone down to end users are able to tailor the experience to their needs. They can adjust what appears in their top bar, what types of records will appear in their recent history and even create custom views to see different points of data (assuming it is data they have permission to access). This means your accounting team can have a completely separate experience than your membership team within the same platform, but also means you will need someone to provide training and to take responsiblity for insuring each new employee is set up appropriately. The Aptify Web platform has also made the end user experience much better at the cost of some additional overhead and training for the technical team.

Aptify is extendable through a Rest API or webservices. We had issues working through the API connection itinially, but the support team has been responsive and worked to improve it based on our feedback. It is now functioning solidly on our site. Because the Rest API is relatively new, there are not very many out of the box connectors, but that number is growing. We have found that Aptify can be picky when connecting to other platforms. The customization framework requires some specific ways to modify data. It is not overly prohibative, but should be considered if you are planning to use your AMS in a highly integrated environment.

I would highly recommend Aptify for a mid-sized team with some strong power users and/or access to some technical resources. The plafform takes time and effort to set up just like any other business software platform, but it's extendability can enable a team to build things far more complex than they would otherwise be able to support.

Aptify is a great AMS system for small non-profits, especially those in the human services or association industries.  It's not super fancy but it gets the job done.  Once an organization starts to grow, there are some pain points around customization though Aptify's customer support is great in helping with this.  I wouldn't recommend this for anyone looking to highly customize their experience or do a ton of integrations with other platforms.  

Aptify is quick, easy, user friendly. support is friednly, knowledgable and timely. 

The Aptify system is a great tool as my job requires I make different views based on information. I find the system relatively easy to use, however I will say Aptify can be slow at times.

We have a lot of requirements for our system and Aptify have tried their best to meet them all.

This is coming from an organization with a complicated business process. You can run lots of reports for various things out of Aptify which is great, but difficult to run report for several things/query in one report.

The best part of Aptify is the ease of use. I can easily create products and customize. Can bend anything to where you want it on the backend side. The problem is the customer service is spotty. Some times they respond next day other times they take a week or longer. I have sent in requests that seem to get lost in the shuffle for weeks. You have to understand the response chain of command and you have to send any questions/errors to a manager or support supervisor if you want a response soon or next-day. The web version does not work well. A lot of features were broken and clunky. The web UI looks like it was rushed and developed by different developers who were siloed and used different icons and UI styles, lack of continuity accross web page. The backend is better but it's not web-based so you have to RDP to a server. This can be slow when many users are logged in, at least with our setup. Our setup, if more than a 15 or so users access the backend, you see a significant slow-down. Other than that I would say Aptify is highly customizable and flexible and that is it's best attribute.

We have been on Aptify since beginning of 2012.  We have over 1000 users at about 165 different locations using Aptify.  Aptify Managed Services hosts the system for us in the Aptify Cloud.

I have found support to be very helpful.  We fully use Aptify consulting as well as an in-house staff to constantly customize/configure Aptify with new features and functions.  Our users have gotten great value from using Aptify and many are highly skilled at using it.  We have intrigrated Aptify with several 3rd party systems.

Overall, our experience has been terrific.

I enjoy using Aptify - it's quick, easy, and I enjoy the fact that my membership database is in a secure "place"!  I still have much to learn with the program, but for now, it clicks all the boxes for my membership maintenance needs.

Aptify was great until the contract was signed, somewhat okay during the implemntation and worst afterwards. they will not respond at all. Their support does not know what their consulting did and consulting did not document anything suring implementation. So to talk to consulting to fix the issues during implemntation, they want more $$. Already spent $$$$ on implementation. I have seen 50 times cheaper AMS work better and have better customer service than Aptify. Looking forward to getting out of contract.

 

Like most conversations about the question "Do you like your AMS" - it depends. when I first began using it, I came from a background that included some great collaborators using a very good system. For the first year or two I thought "This thing is TERRIBLE". The structure, the (in)ability to get information out, the complicated processes, etc. As time went on (years), I came to understand that much (or perhaps most) of the problems were with my company - large (for an association), siloed, no consistent process, etc., led to a highly customized system. This meant upgrades were near impossible, and changes were shunned because no one knew what might happen. Also, we started with Aptify rather early and were stuck with an older version.

BUT - from what I've seen, the newer versions are much improved, so as long a new customer stays out-of-the-box, they could have a great product. Aptify as an AMS has matured a bit, although I think the company itself isn't as helpful and proactive about working with customers to improve their use of the product as they could be.

If you Association is growing in leaps and bounds, this system definitely gives you some growing room. The downside is that it allows so much configuration, it may be a bit overwhelming for smaller organizations. It has some catching up to do in terms of software (mobile and HTML5 friendly websites). But the organization is definitely headed in the right direction. My only large complaint is that in some places, it does not feel like it was built with Associations in mind. Rather, it feels like it was built to handle just about any type of organization with products to sell. So there tends to be a lot of setup work that would seem would common to most Associations.

We have been on the Aptify platform for a decade. It is high-end and very customizable, did not run "out of the box" so to speak since the majority of the standard reports were of no use for us, and it is expensive for smaller associations. We were also not happy with the add-on modules. Granted this evaluation was from our initial experience ten years ago and Aptify has since upgraded the product substantially since then. We are on a version that came out five years ago since the upgrade would cost close to 100K.
